Team
A Space rarely runs on a single person. Emblema lets you invite collaborators and assign them roles at two levels:
- Space level — applies to every event under the Space.
- Event level — applies only to a specific event.
Roles
| Role | Capabilities |

| Owner | Full control. Can edit settings, invite collaborators, transfer ownership, delete the Space. At least one Owner per Space is required. |
| Editor | Can create and edit events, manage agenda, attendees, badges and feedback. Cannot edit Space settings or invite Owners. |
| Reviewer | Can read C4P submissions and leave reviewer scores/comments. Cannot accept/decline applications. |
| Check-in staff | Can use the staff check-in tool during events. Read-only on everything else. |
| Viewer | Read-only access to the Space dashboard. Useful for stakeholders who need visibility but not edit rights. |
Roles are additive: an attendee with both Reviewer and Check-in staff roles gets the union of the two permission sets.
Invite a collaborator
Space-level invitations
Go to /dashboard/space/<id>/settings → Team section and click
Invite collaborator:
- Enter the email of the person you want to invite.
- Pick the role.
- Optionally include a personal note in the invitation email.
- Send.
The invited person receives an email with a magic link. They sign in to Emblema (creating an account if they do not have one), accept the invite and join the Space team.
If the invited email already has an Emblema account, they also see the
invitation in their dashboard inbox at
/dashboard/collaborations
and can accept it from there.
Event-level invitations
Some collaborators are needed only for a specific event (e.g. a colleague
who handles check-in). From
/dashboard/space/<id>/event/<eventId>/team you can:
- Invite new collaborators with an event-only role.
- Promote an existing Space collaborator to a higher role for this specific event (e.g. a Space-level Reviewer who acts as Editor for one event).
Event-level roles are revoked automatically when the event is archived.
Manage existing roles
The Team page lists all collaborators with:
- Their email and avatar.
- Their role(s) at Space and event level.
- The invitation state (Pending, Accepted, Declined).
- Quick actions to change role, remove, or resend invite.
Pending invitations
Use the Pending filter to see invitations that were sent but not yet accepted. The platform automatically resends the invitation email after 7 days; you can also resend manually at any time.
If an invited person never accepts, you can revoke the invitation from the same page.
Transfer ownership
To transfer ownership:
- Invite the new Owner with the Owner role (or promote an existing Editor to Owner).
- After they accept, you can demote yourself to Editor or leave the Space.
Each Space must keep at least one Owner; the platform prevents the last Owner from demoting themselves until a replacement exists.
Followers vs collaborators
Followers (/dashboard/space/<id>/followers) are users who follow the
public Space page to receive notifications about new events. They are
not collaborators and do not get access to the dashboard. The Followers
page lets you broadcast announcements to followers when announcement
features are available.
Tips
- Use Reviewer roles generously — getting more eyes on C4P submissions improves selection quality.
- For multi-day conferences with rotating staff, prefer event-level Check-in staff roles so you do not leave permanent permissions hanging around.
- Document the role mapping in your Space's internal notes so handovers between editions are smooth.
