Applications

An application is the link between one of your catalog talks and a specific event's Call for Papers. The platform records the application in /dashboard/speaker/applications so you have a single place to track everything you submitted, accepted or declined.

Create a new application

From the Applications page click New application, or apply directly from the C4P opportunity page (see Call for Papers). The form at /dashboard/speaker/applications/new asks you to:

  1. Pick the event / opportunity you are applying to.
  2. Pick the talk from your catalog you want to submit.
  3. Optionally adjust the submission notes for that specific event (without changing the catalog abstract).
  4. Confirm.

The platform sends the application to the Space organizers, who review it in their own dashboard.

Submit the same talk to multiple events

You can submit the same catalog talk to as many C4Ps as you want. Each submission is its own application, with its own status.

Application states

StateSet byWhat it means
SubmittedYouThe application is in the C4P queue. The organizer has not reviewed it yet.
Under reviewOrganizerThe organizer is evaluating the talk.
AcceptedOrganizerThe talk has been selected for the event.
WaitlistedOrganizerThe talk is on standby — accepted only if a slot opens.
DeclinedOrganizerThe talk was not selected for this event.
WithdrawnYouYou withdrew the application before the organizer decided.

You receive a notification (and email, if enabled) on every state change.

Tracking and filtering

The Applications page lists all your submissions with quick filters:

  • Active (Submitted, Under review, Accepted, Waitlisted) vs Archive (Declined, Withdrawn, Closed).
  • By event — useful if you applied to multiple talks within the same C4P.
  • By talk — useful if you submitted the same talk to many events.

Click any application to open the detail at /dashboard/speaker/applications/<applicationId>. From there you can:

  • Read the organizer notes (when the organizer leaves any).
  • Withdraw the application before the deadline.
  • See the timeline of state changes.

After acceptance

Once your application is accepted, the platform:

  1. Schedules the talk on the event agenda (the organizer may still adjust the slot).
  2. Generates the post-talk feedback URL that the speaker can share at the end of the session — the link follows the pattern /feedback/talk/<speakerId>/<talkId>/<applicationId>.
  3. Counts the talk as a delivered talk instance when the event ends — this contributes to your Talk Instance badge family.

See Feedback for how the post-talk QR code works in practice.

Withdrawing

You can withdraw an application up until the C4P closes or the organizer locks the agenda. Use Withdraw on the application detail page; the organizer is notified and the slot is freed up.

Troubleshooting

  • The opportunity I want is not in the dropdown. The C4P may not be open yet, may have closed, or may be invitation-only. Check Call for Papers to discover open ones.
  • My talk is not in the dropdown. Only published catalog entries can be submitted. Switch the talk from draft to published in /dashboard/speaker/talks.
